Job alert

Follow

A Job alert can be used to keep potential candidates informed about recently published vacancies that correspond to the Hard Criteria they have selected on the Job Alert registration page.

This article describes how you can set up and alter a Job Alert. It's possible to connect a Job alert to certain Media Channels, like internet and intranet.

You can configure Job alerts from Basic Setup under Connexys Setup. By default, there are already 3 Job alerts, on 3 different Media Channel: External Job alert, Internal Job alert, and Supplier Marketplace. You can update these for your own use, if needed.

Set or Create a Job alert

As you can see in the image below, there is a warning given when there isn't a Job alert scheduled yet. This will happen on the main page of the Job alert, this page is further divided in the following topics:

- Job alerts
- Job alert planning
- Hourly job alert
- Send a test job alert

We will start with the setup of a single Job alert.

Decide here whether you will be sending the Job alert when matching all Hard Criteria, or at least one.

Postfix for Job URL You can add a string with all the UTM parameters to the Job URLs, when sending a Job alert.
External ID  The Salesforce External ID field allows you to store unique record IDs from an external system, typically for integration purposes.

*It's important that both mails are linked to the Job alert, with the type set to System Email.
** The second occasion in which these fields can be used is for including Google Analytics on the page concerning the Job alert. By including the Google Analytics codes, organisations can measure their traffic on the Job alert registration page and compare that with the numbers of people that actually activate their registration.

On the Detail page you can also choose which Hard Criteria are shown on the Job Alert Register Page. The Hard criteria that will be selected by the subscriber on the registration page determines which Jobs, with matching Hard Criteria, will be included in their Job alert.

Another relevant Related List on the detail page is "Job alert Registrations". You can create,  and activate, a registration manually by selecting New Job alert registration. In addition, you can view the list of all the subscribers to this Job alert here.

Job alert planning

  • Here can you choose on which day, and what time the Job alert will be sent to the subscribers.
    • Click on the Save button. When you're finished and the following text will appear: Planned by: "Username".
    • The Job alert will be sent from this user's email address.

  • The system checks if there are any new jobs that have not been sent before.
  • To stop the Job alert, uncheck all the days.
  • You will need to select a specific time if you have chosen the Weekly option on the Job alert detail page.

Hourly Job alerts

Use this checkbox to schedule sending Job alerts per hour, or if you also have chosen the option on the Job alerts Detail page to send out the Job alert each hour. Select Save when you're finished and the following text will appear: Planned by: "Username". The Job alert will be sent from this user's email address. You may reassign it to another user by selecting Reschedule to me.

Send a test Job alert

To test the Job alert, enter the email address of an existing job alert registration.
Note: You can register, and activate, a Job alert registration manually on the Detail Page.

  • Republish the Job by unchecking the checkbox of the Media Channel.
  • Save the Job.
  • Check the checkbox of the Media Channel.

B. Places where subscribers are given the option to register for the Job alert

Note: If this checkbox has been checked, the subscriber will first receive a registration mail to confirm their registration.

1. Registration form on website

Link the URL of the registration page to a button on the website. You can find the URL on the Detailpage of the Job alert

2. Checkbox on Application form

During the application, if you want to give Candidates the option to register to receive New (other) Jobs by email, place this option on the Application form by adding the checkbox "Job alert" to the Candidate fieldset like "Apply Page Extra 1".

3. Manual via the Job alert Detail Page

C. Job alert E-mail templates

  1. Job alert activation email
    • Email template type: System email
    • Object: cxsJob_alert_registration__c
    • Use merge fields: {!recipient.salutation} or {!recipient.firstname} and {!link}
  2. Job alert email
    • Email template type: System email
    • System template: Default_job_alert_email

  3. The Sender's email address

The Job alert mail will be sent from the user that has set and planned the Job alert. If you want that mail sent from a different email address, you need to use (or create) a different active user. This user has to have (at least) the same rights as a delegated admin profile.

Note: Do not use the Connexys admin user.

D. Styling of the Job alert

The styling of the Job alert is based on the stylesheet of the Application form. Navigate to Connexys Setup, go to Application settings, select Application form, and choose Stylesheet to change the look and feel. This also applies for the style of the Mobile Job alert, where you have to use extra CSS.

D. Unsubscribe

Recipients of Job Alerts may unsubscribe themselves, provided you use the merge item {!jobalert.update}.
