A job alert can keep potential candidates informed about recently published vacancies that correspond to the Hard Criteria they have selected on the Job Alert registration page.
This article describes how you can set up and alter a Job Alert. It's possible to connect a job alert to certain Media Channels, like internet and intranet.
You can configure job alerts from Connexys Setup > Basic Setup. By default, there are three job alerts on three different Media Channels: External, Internal, and Supplier Marketplace. If needed, you can update these for your use.
Set Up or Create a Job Alert
As you can see in the image below, a warning is given when there isn't a Job alert scheduled yet. This will happen on the main page of the Job alert, this page is further divided into the following topics:
- Set Up Job Alerts
- Job Alert Scheduling
- Hourly Job Alert
- Send a Test Job Alert
We will start with the setup of a single Job alert.
Set Up an (Existing) Job Alert
On the main page, under the label Job alerts, select New to create an entirely new Job alert, or click on Edit and the Edit Page will open. When you click on the name of a Job alert the next page will open.
Here you can view the details of a Job alert, which you can Edit, Delete, or Clone.
Some fields are mandatory or not yet visible on the layout. In the table below you can find a description of the fields on the Job Alert Detail page you can enter or adjust.

Postfix for Job URL | You can add a string with all the UTM parameters to the Job URLs, when sending a Job alert. |
External ID | The Salesforce External ID field allows you to store unique record IDs from an external system, typically for integration purposes. |
*It's important that both emails are linked to the Job alert, with the type set to System Email.
** The second occasion in which these fields can be used is for including Google Analytics on the page concerning the Job alert. By including the Google Analytics codes, organizations can measure their traffic on the Job alert registration page and compare that with the number of people that activate their registration.
On the Detail page, you can also choose which Hard Criteria are shown on the Job Alert Register Page. The Hard criteria that will be selected by the subscriber on the registration page determine which Jobs, with matching Hard Criteria, will be included in their Job alert.
Another relevant Related List on the detail page is Job Alert Registrations. You can create, and activate, a registration manually by selecting New Job Alert Registration. In addition, you can view the list of all the subscribers to this job alert here.
Job Alert Scheduling
- Here can you choose on which day, and what time the Job alert will be sent to the subscribers.
- Click on the Save button. When you're finished the following text will appear: Planned by: "Username".
- The Job alert will be sent from this user's email address.
- You may reassign it to another user by selecting Reschedule to me.
- The system checks if any new jobs have not been sent before.
- To stop the Job alert, uncheck all the days.
- You will need to select a specific time if you have chosen the Weekly option on the Job alert detail page.
Hourly Job Alerts
Use this checkbox to schedule sending Job alerts per hour, or if you also have chosen the option on the Job Alert Detail page to send out the Job alert hourly. Select Save when you're finished and the following text will appear: Planned by: "Username". The Job alert will be sent from this user's email address. You may reassign it to another user by selecting Reschedule to me.
Send a Test Job alert
To test the Job alert, enter the email address of an existing job alert registration.
Note: You can register, and activate, a Job alert registration manually on the Detail Page.
Additional Configuration
When will Jobs appear in the Job alerts' list of matching Jobs?
A Job will appear on the "Jobs that are ready to be sent" list when a Job has been published on a Media Channel. For more information about the status of the Job alert of a certain Job, go to the Related List "Job Adverts" on the detail page of the Job.
